QuickBooks Not Downloading Bank Transactions: Fixes

6 min readOctober 26, 2026

Quick Answer: Most "missing" bank transactions in QuickBooks fall into one of five buckets: the connection needs updating or re-authorizing, the items are still pending at the bank, they are older than 90 days, a bank rule or an earlier exclusion moved them out of For review, or an uploaded file was rejected or partly skipped. Press Update on the Bank transactions page first, then work through the checks below in order.

When QuickBooks is not downloading bank transactions, the cause is usually visible within a few minutes if you check in the right order. Start with the connection status, then confirm the transactions have posted at the bank, then search the Categorized and Excluded tabs and your bank rules, and only then suspect a real data gap that needs a manual file upload.

Is the bank connection actually working?

The first move is a manual refresh. In QuickBooks Online go to All apps > Accounting > Bank transactions and select Update. Intuit notes that most banks send transactions every 24 hours, though times vary, so a manual update is the quickest way to pull anything waiting.

If the update stops with a message, deal with what it asks for:

  1. Verification prompt. Some banks require a fresh multi-factor check. Follow the steps on screen; the update will not finish without it.
  2. Changed password or account number. On the account tile select Edit, then Edit sign in info, type the new details and choose Save and connect. Intuit recommends typing credentials rather than pasting them or relying on saved ones.
  3. Numbered bank error. QuickBooks shows codes such as 101, 155 or 185, and each code has its own fix in Intuit's help center. Search the code on QuickBooks support rather than guessing; the fixes range from "wait for the bank" to "disconnect and reconnect".
  4. Bank outage. Check your bank's website for a posted outage or maintenance notice. Intuit says these usually clear within 24 to 48 hours, and the missed transactions arrive once the connection recovers.

Reconnecting from scratch is a last resort. When you disconnect and reconnect, QuickBooks asks how far back to pull, and choosing a date that overlaps what you already have is a fast way to create duplicates.

Are the transactions still pending?

Intuit's article on finding missing transactions is explicit that QuickBooks "doesn't download pending transactions" and "only downloads posted transactions from your bank."

So the card payment you made this morning, a deposit on hold, or a weekend transfer will not appear until the bank posts it. Compare what you are missing with your bank's website. If the bank lists the item under "pending" or "processing", there is nothing to fix; it will arrive with a later update. Hotel and fuel pre-authorizations are a special case: the final posted amount can differ from the pending one, and only the posted version comes through.

Did QuickBooks download them and put them somewhere else?

This is the most common cause when "a handful" are missing. A transaction that downloaded correctly can still be out of sight because:

  • A bank rule auto-added it. Intuit points out that rules set to auto-add move transactions straight into your books, so they never appear in For review. Look in the Categorized tab, and review your rules for any that match the payee.
  • Someone excluded it. The Excluded tab holds anything marked as personal or duplicate. Select the transaction and Undo to send it back to For review.
  • It was matched to the wrong record. If it was matched to an existing entry, it sits in Categorized. Unmatch it if the match was wrong.
  • A filter is hiding it. Select Filter on the Bank transactions page and clear any date, amount or payee filters left on from a previous session.
  • It went into the wrong account. If you connected two accounts from the same bank, check the other tile.

The account register (open it from the Chart of Accounts) is the final check. If the transaction is in the register, QuickBooks has it.

Why is everything before a certain date missing?

The bank connection only reaches back 90 days, and on a fresh connection it pulls only as far as the start date you picked. Anything older is not a download failure; it was never in range. Your choices are your bank's activity export (CSV or .QBO) for the period, or the monthly statement PDFs when the export does not go back far enough. Converting statements into a file QuickBooks will take is covered in importing older bank transactions into QuickBooks Online, including how to pick a cut-off date that avoids overlaps.

Why didn't QuickBooks import all the transactions in my file?

When the problem is a manual upload rather than the feed, the file itself is usually at fault. Check it against the rules Intuit publishes for the Upload from file feature:

  1. Size and length. The file must be 350 KB or less and hold up to 1,000 lines. A year of a busy account can exceed both; split it by month.
  2. Language. Uploads must be in English.
  3. Columns (CSV only). Either three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit). Extra columns such as a running balance, check number or category can confuse the mapping step.
  4. Zeros and labels. Leave cells blank where the value is zero, and remove the word "amount" from Credit and Debit headers.
  5. Dates. Use one consistent date format. If your bank exports "Mon 03/02/2026", split the weekday into its own column.
  6. Date overlap. For an account that already has transactions, the file should start the day after the latest one.

For .QBO files, a rejection often means the file is malformed or points at the wrong account type. The QBO file checker opens the file and shows what it contains so you can see whether the problem is the file or QuickBooks.

QuickBooks Desktop has its own version of this

In QuickBooks Desktop, downloads go through the Bank Feeds Center, and Web Connect files are imported from File > Utilities > Import > Web Connect Files. If a file opens in the wrong company or the wrong Desktop version, close the other one first and import from inside the right company file. QuickBooks Desktop bank feeds covers that setup in more depth.

How do you fill the gap once you find it?

If the connection is fixed but a stretch of days never arrived, do not wait for it to reappear. Download that exact date range from your bank as CSV or .QBO and upload it into the same account, starting the day after your last good transaction and ending the day before the feed resumed.

Where the bank's export is unavailable or stops short, the monthly statement still covers the period. QuickBankConvert can rebuild a statement PDF into a .QBO or CSV so the missing days go in as a normal upload; you review them in For review exactly like downloaded items.

After filling any gap, reconcile the affected month against the bank statement. A reconciliation that balances to the cent is the only reliable sign that nothing is still missing or doubled.

Frequently Asked Questions

How often does QuickBooks Online download bank transactions?

Intuit says most banks update with QuickBooks every 24 hours, though timing varies by bank. Select Update on the Bank transactions page to pull anything waiting right away.

Why do pending transactions never show up in QuickBooks?

QuickBooks only downloads posted transactions. Pending items appear after the bank posts them, sometimes for a different final amount.

QuickBooks says I'm all caught up, but transactions are missing. Why?

Check the Categorized and Excluded tabs and your bank rules. Rules set to auto-add skip For review entirely, so the transactions may already be in your books.

Should I disconnect and reconnect my bank account?

Only after updating, re-entering sign-in details and checking the error code have failed. Reconnecting asks for a new start date, and overlapping dates can create duplicates.

Why does my CSV upload skip some rows?

Rows are commonly skipped when the file passes 1,000 lines or 350 KB, mixes date formats, puts zeros in Credit or Debit cells, or has extra columns the mapping cannot place.
