How to Download Bank Transactions Into QuickBooks Online

6 min readOctober 26, 2026

Quick Answer: To download bank transactions into QuickBooks Online, go to All apps > Accounting > Bank transactions, select Connect account, find your bank, sign in with your online banking credentials and choose the accounts and a start date. QuickBooks then pulls in history (between 90 days and 24 months, depending on the bank) and keeps adding new cleared transactions for you to review.

"Downloading" bank transactions in QuickBooks Online means connecting the account once so that the bank sends transactions to QuickBooks on its own. You do not download a statement file and you do not repeat the process each month. After the initial connection, new transactions appear in a review list, and nothing posts to your books until you accept, match or categorize it.

How do you connect a bank account to QuickBooks Online?

Intuit's connection article gives these steps:

  1. Go to All apps > Accounting > Bank transactions.
  2. Select Connect account. If you have connected an account before, the button reads Link account.
  3. Search for your bank by name and select it.
  4. Sign in with the username and password you use for online banking, and complete any extra security step your bank requires (a code by text, an app approval).
  5. Choose which accounts to connect: checking, savings, credit cards.
  6. For each account, choose the date to start downloading from the dropdown.
  7. Confirm the connection.

Two constraints from the same page are easy to miss. The person connecting must have their own access to the bank's online banking; Intuit says accountants cannot connect accounts on a client's behalf, so the client has to do this step. And the feature is limited on QuickBooks Online Free and Lite, so you may need to upgrade under Settings > Subscriptions and billing.

During setup QuickBooks asks which account in your chart of accounts each bank account should feed. If you already have a "Business Checking" account with transactions in it, link to that one rather than letting QuickBooks create a new account. Otherwise you will end up with two checking accounts and history split between them.

How far back will QuickBooks Online download transactions?

It depends on the bank. Intuit says download timespans range from 90 days up to 24 months, with the default start date usually set to the beginning of the current year. You can pick an earlier date, but the bank decides how much it actually sends.

That limit is why people are surprised when a connection made in October brings in only July onward, or when a new subscriber migrating from spreadsheets finds the first half of the year missing. The feed is not broken; the bank simply holds a limited window for third-party download.

Pick the start date with your existing records in mind:

  • New books with nothing entered: go as far back as the bank allows and fill any earlier gap with a file upload.
  • Books already current to a date: start the feed the day after your last entered or reconciled transaction. Starting earlier creates duplicates you will have to exclude one by one.

What happens after transactions download?

Downloaded transactions land in the review list for each account (the Pending tab in Intuit's categorization article). QuickBooks suggests a category based on how you have categorized similar transactions before. For each line you can post it, add it with your own details, or match it to an invoice payment, bill payment or expense already in QuickBooks.

Note that QuickBooks Online does not download pending transactions. A card swipe from this morning will show in your banking app but not in QuickBooks until it settles.

The more consistently you categorize, the better the suggestions get. For recurring transactions, bank rules can do the categorizing for you; the guide to categorizing bank transactions in QuickBooks Online covers them.

How often do transactions update?

After the first connection, QuickBooks keeps downloading new transactions automatically as they clear the bank; Intuit's page says that when more transactions clear, they appear on the list for review. Connections can still lapse, for example when you change your online banking password, and then need you to sign in to the bank again.

If the list looks stale, or a bank shows an error banner on its account tile, the connection usually needs re-authorizing. The guide to QuickBooks not downloading bank transactions works through the common causes.

What if your bank is not supported or the history is too short?

Some institutions cannot connect at all, and some account types are excluded. Intuit, for example, notes that American Express Business accounts cannot connect through this method. Even supported banks only send a limited history. In all of these cases the answer is the same: get a file from the bank and upload it.

SituationRoute into QuickBooks Online
Bank connects normallyConnected feed, as above
Bank not listed, or account type excludedDownload CSV or QBO from online banking, then upload from file
Need months older than the feed providesUpload a file covering the earlier period
Bank only provides PDF statements for older monthsConvert the PDF to CSV or QBO, then upload
Connection broken for a few weeksReconnect, or upload just the missing dates

The upload screen sits in the same place, under the Link account menu as Upload from file, and per Intuit's manual upload instructions it accepts CSV, TXT, QBO and OFX files of 350 KB or less with up to 1,000 lines. The detailed walkthrough, with CSV layouts, is importing bank transactions into QuickBooks Online.

Where your bank keeps only PDF statements for the old months, a statement converter fills the gap. QuickBankConvert produces a CSV from a statement on a free account and a QBO file on its Plus plan and above, which then goes through the same upload screen without column mapping. For catching up a long gap, see importing old transactions into QuickBooks Online.

Can you download an actual bank statement into QuickBooks?

Not as a PDF document. The feed brings in transactions, not the statement itself. When you reconcile, you type in the statement's ending balance and ending date, and QuickBooks Online's reconcile screen offers an optional statement upload to help with matching. Keep the PDF statements in your own records regardless; they are your evidence for each reconciliation.

Several accounts at the same bank

When one sign-in covers checking, savings and a credit card, QuickBooks lists all of them during setup. Connect only the accounts that belong to the business; leave personal accounts unticked even if they share the login. Each connected account gets its own tile and its own review list, and each needs its own start date, since you may have entered transactions in one account further than another.

A checklist for a clean first connection

  1. Decide the start date before you connect, based on what is already in your books.
  2. Connect each account to the existing chart-of-accounts account, not a new duplicate.
  3. Review the first batch carefully, matching rather than adding anything already entered.
  4. Fill any gap before the feed's start with a file upload.
  5. Reconcile the first full month against the bank statement to prove the history is complete.

Frequently Asked Questions

Is connecting my bank to QuickBooks Online the same as downloading statements?

No. A connection downloads individual transactions on an ongoing basis. Statements themselves stay with your bank, and you use them to reconcile.

Why did QuickBooks only download 90 days of transactions?

Each bank sets how much history it releases, from 90 days to 24 months according to Intuit. Upload a file from your bank to cover the earlier period.

Can my bookkeeper connect my bank account for me?

Intuit says accountants cannot connect bank accounts for clients. The account holder needs to sign in to their bank during the connection step.

Do downloaded transactions go straight into my books?

No. They wait in the review list until you post, add or match them, so you can check each one first.
