How to Download Bank Transactions Into QuickBooks Desktop
Quick Answer: QuickBooks Desktop downloads bank transactions through Bank Feeds, using either Direct Connect, where QuickBooks talks to the bank's server, or Web Connect, where you download a .QBO file from the bank and import it. To download, open Banking > Bank Feeds > Bank Feeds Center, select the account and choose Download Transactions. If your bank offers neither method, convert statements to .QBO and import them as Web Connect files.
Bank Feeds is the QuickBooks Desktop feature that brings bank and credit card transactions into your company file without typing them. Which kind of feed you get is decided by your bank, not by you: some banks support Direct Connect, many support only Web Connect, and a few support neither. Setup is a one-time job; downloading is a routine you repeat as often as you like.

Direct Connect or Web Connect: what is the difference?
| Direct Connect | Web Connect | |
|---|---|---|
| How data arrives | QuickBooks connects to the bank's server and pulls transactions | You download a .QBO file on the bank's website and import it |
| Sign-in | A PIN or password from the bank, entered in QuickBooks | Your normal online banking login, at the bank |
| Effort per download | One click (sync) | Download then import, a few clicks |
| Online payments and transfers from QuickBooks | Possible where the bank supports them | Not available; Intuit notes Web Connect users cannot send payments or transfer funds from within the program |
| Fees | Intuit says Bank Feeds itself has no QuickBooks fee; a bank may charge for Direct Connect | None from QuickBooks |
| Availability | Fewer banks | More banks |
Intuit's Bank Feeds setup article adds two limits worth knowing before you start. You can connect up to 40 accounts per company file. And if you want to switch an account from one method to the other, you have to disconnect its bank feed first and set it up again.
The first question to answer is which methods your bank offers. Its business online banking help pages, or a call to its treasury or business support line, will tell you. Ask specifically about "QuickBooks Desktop Direct Connect" because a bank may charge for it or require enrollment.
How do you set up a Web Connect bank feed?
The setup happens the first time you import a file:
- On the bank's website, download your transactions as a QuickBooks Web Connect (.QBO) file.
- In QuickBooks Desktop, go to Banking > Bank Feeds > Import Web Connect Files, select the file and choose Open.
- When QuickBooks asks which account to use, pick the existing account in your chart of accounts, or create a new one.
- Select Continue, then OK.
- Review the transactions in the Bank Feeds Center.
From then on, every .QBO file you import for that account goes to the same register.
How do you set up Direct Connect?
Enroll with the bank first; many banks require you to activate Direct Connect and will issue the PIN or password QuickBooks will ask for. Then start the setup from the Bank Feeds options on the Banking menu, find your bank, enter those credentials and link each bank account to the matching account in QuickBooks. Once linked, the account appears in the Bank Feeds Center with a sync option.
How do you download transactions in QuickBooks Desktop?
Intuit's download article describes both methods.
With Direct Connect:
- Go to Banking > Bank Feeds > Bank Feeds Center.
- Select the account in the Bank Accounts list.
- Choose Download Transactions, or use the synchronize icon or dropdown.
- Pick Sync this account for one account or Sync all for this Bank to update every account at that bank.
- Enter your PIN or password if prompted and select OK.
With Web Connect:
- From QuickBooks: in the Bank Feeds Center, find the bank and select Download Transactions. QuickBooks opens the bank's website; sign in and download the .QBO file, then import it.
- Or go to the bank's site directly, download the .QBO, and import it with Import Web Connect Files.
How far back do Bank Feeds download?
On the first Direct Connect download, Intuit says QuickBooks pulls as many past transactions as the bank allows: most banks provide about 90 days, and some up to a year. For Web Connect, the bank's download screen sets the limit; some let you choose a date range, others offer fixed windows such as 30, 60 or 90 days.
Two rules to plan around:
- History beyond the bank's window does not come through the feed. Load older months another way (see below) before or after you connect, and make sure the date ranges do not overlap.
- The same transactions cannot be downloaded twice. Intuit states you can't download transactions into the same company file more than once. That protects you from duplicates, but it also means a deleted transaction will not come back by re-downloading.
Which QuickBooks Desktop versions still get bank feeds?
Bank Feeds depends on Intuit's online services, which stop when a version reaches its discontinuation date. Intuit's discontinuation policy page says that after May 31, 2026, QuickBooks Desktop 2023 can no longer download transactions, send online payments or make online transfers, and uploading transactions is discontinued as well.
So if you are asking how to download bank transactions into QuickBooks Desktop 2021, the honest answer is that 2021 is older than the 2023 release that has already lost those services. Feeds need a currently supported version. Older versions can still record transactions you enter yourself.
What if your bank does not offer a feed?
Options, from least to most effort:
- Check for a .QBO download under another name. Banks label it "QuickBooks", "QuickBooks Web Connect", "QBO" or "Intuit". A Quicken (.QFX) option is not the same file and will not import.
- Convert statements to .QBO. If you can get PDF statements but no QuickBooks download, a converter turns each statement into a Web Connect file. QuickBankConvert writes .QBO files from statement PDFs on its Plus plan and above; see pricing and the QuickBooks integration page. You then import them exactly as in the Web Connect steps above, and they land in the Bank Feeds Center like a bank download.
- Enter transactions by hand, or with Batch Enter Transactions if you have the Accountant or Enterprise edition.
The file-import side of this is covered in more detail in importing bank transactions into QuickBooks Desktop.
Reviewing what you downloaded
Downloaded transactions wait in the Bank Feeds Center until you deal with them; they do not post to the register on their own. For each one, match it to a check, deposit or bill payment you already entered, or add it as a new transaction with a payee and account. Work through the oldest items first, and do not leave a backlog: a month of unreviewed lines makes it hard to tell a missing entry from a timing difference when you reconcile.
Keeping feeds healthy
- Download at least weekly so each batch is small enough to review properly.
- After a bank changes its online banking system, expect to reauthorize Direct Connect or download fresh files in a new format.
- If downloads stop or error, the guide to QuickBooks not downloading bank transactions lists common causes.
- Reconcile monthly. A feed proves transactions arrived; only a reconciliation proves none are missing.
