Nitro PDF to Excel Converter: Desktop and Online Steps
Quick Answer: In Nitro PDF Pro for Windows, open the Convert tab, click To Excel, add your PDFs, choose a single sheet, multiple sheets or a sheet per page, and click Convert. On a Mac, use File > Export and pick Excel Document (XLSX). For a one-off file without the app, Nitro's free online PDF to Excel page converts a PDF with no account or email.
Nitro offers three ways to turn a PDF into a spreadsheet: the Windows desktop app, the Mac app, and a free web converter. All three rebuild tables from text positions, so they do well on digitally created PDFs with clear rows and columns and less well on scans or on dense layouts. Nitro itself states that the conversion cannot preserve the exact layout of the original.

Which Nitro option should you use?
| Option | Best for | What it lacks |
|---|---|---|
| Nitro PDF Pro for Windows | Batches of files, page ranges, control over sheet layout | Needs a paid licence or trial |
| Nitro PDF Pro for Mac | Mac users who already own Nitro | Fewer layout choices in the export dialog |
| Free online converter | A single file, no install | No settings and no OCR; the file is processed on Nitro's servers |
If you convert PDFs every week, the desktop app pays off because you can queue several documents and choose how pages map onto sheets. For one table from one PDF, the web tool is enough.
How do you convert PDF to Excel in Nitro PDF Pro for Windows?
Nitro's Windows user guide, Convert a PDF to Excel file, describes this sequence:
- Open Nitro PDF Pro and go to the Convert tab.
- Click To Excel. A conversion dialog opens.
- Click Add Files to pick one or more PDFs. Use Remove, Move Up and Move Down to tidy the list, or tick the box to include every PDF you already have open.
- Optionally click Choose Pages and type a range such as 3-5 if the table sits on specific pages.
- Choose how the output is laid out: a single Excel sheet, multiple Excel sheets, or a sheet per page.
- Pick where the file goes: the folder of the original, a specific folder, or ask each time.
- Click Convert.
For defaults you reuse, open Options in that dialog (or Preferences from the Home screen) and go to Conversion > Excel. There you set the output table format and the output file format. Nitro can write a modern .xlsx workbook or an Excel 2003 XML spreadsheet; choose .xlsx unless something downstream insists on the old format.
Picking the sheet layout
The layout choice in step 5 decides how much stitching you do later. A single sheet is right for any table that runs across pages, such as a price list, ledger or transaction history, because the rows land in one continuous block. Multiple sheets suit a document containing several unrelated tables. A sheet per page is mainly useful when each page is a self-contained form.
How do you export to Excel in Nitro PDF Pro for Mac?
The Mac edition uses an export dialog rather than a ribbon button. According to Nitro's Mac export guide:
- Open the PDF and choose File > Export.
- Select Excel Document (XLSX).
- Set the document's language in the Language(s) in document menu so characters are recognized correctly.
- Click Export, wait for the progress bar, then choose a location and click Save. The workbook opens automatically unless you turn that off.
Exporting is a Pro feature, so an unregistered copy of the Mac app will prompt you to upgrade. Other Mac-specific routes, including Preview, Numbers and Excel for Mac's own tools, are compared in convert PDF to Excel on a Mac.
Is the Nitro online converter really free?
Nitro's free PDF to Excel converter asks for no registration or email. You upload or drag in a PDF, leave the conversion type on PDF to Excel, click Convert Now, and download the spreadsheet when it is ready. It works on Windows, Mac and mobile.
Nitro separates this tool from the full product: the trial of Nitro PDF Pro adds converting scanned PDFs with OCR, which the online converter does not advertise. Remember too that a web converter means sending the document to a third party. For payslips, statements or client records, read the provider's privacy terms first or use the desktop app.
What about scanned PDFs?
A scanned page is a photograph of text. Before any converter can place numbers in cells, the text must be recognized. In Nitro PDF Pro for Windows you do that as a separate step, described in Nitro's OCR an existing PDF article:
- Open the scanned PDF and go to the Review tab.
- Click OCR.
- Choose Searchable or Searchable and Editable. Pick the second one when you plan to convert to Excel, since the text needs to be real, selectable characters.
- Use Options to limit the page range and Advanced for recognition settings, then click OK.
- Save the recognized PDF and run To Excel on it.
Recognition quality depends heavily on the scan. A crisp 300 dpi black-and-white scan reads far better than a phone photo taken at an angle. Expect to double-check every digit, because a misread 8 as 3 still looks like a valid number.
What cleanup will the Excel file need?
Nitro does a reasonable job on simple grids. More complex documents produce a few recurring issues, and each has a quick fix:
- Headers repeated on every page. With a single sheet, the column titles from pages two onwards appear as data rows. Apply a filter on the header row and untick the repeated title text to hide them, then delete.
- Wrapped text split into extra rows. Long descriptions that break onto a second line become separate rows with no date or amount. Sort a copy by an empty-looking column to find them, or join them to the row above with an ampersand formula.
- Amounts as text. Values with currency symbols, spaces as thousands separators, or a trailing minus may not total. Use Find and Replace to strip the symbol, then convert the column with Data > Text to Columns and Finish.
- Columns shifted by one. When a row has a blank cell in the PDF, the converter can slide later values left. Spot-check a few rows against the original, especially near page breaks.
- Merged title cells. Unmerge them before sorting; merged cells block sort and filter.
A useful habit: total a numeric column and compare it with a total printed in the PDF. If they match, the conversion is trustworthy. If not, the gap leads you straight to the missing or duplicated rows. A full symptom-by-cause list is in convert PDF to Excel without losing formatting.
When is Nitro not the right tool?
Nitro is a general PDF editor, so it treats every document the same way. That is the right trade-off for invoices, reports and price lists, but it is the main reason bank and credit card statements come out messy: running balances, wrapped merchant names and separate debit and credit columns all fight the generic table detector.
For statements specifically, a dedicated parser that knows what a transaction line looks like will usually give a cleaner sheet. QuickBankConvert, for example, returns one row per transaction with a signed amount, which you can check on screen before downloading; see PDF to Excel for statements. Frequently Asked Questions
Does Nitro's free PDF to Excel converter need an account?
No. Nitro states that no registration or email is required for the online converter. You upload the PDF, convert and download the spreadsheet.
Can Nitro convert several PDFs to Excel at once?
Yes, in Nitro PDF Pro for Windows. The To Excel dialog lets you add multiple files, reorder them and choose a page range before converting.
Why does Nitro say my PDF cannot be converted to Excel?
The file usually has no recognizable table or no text layer. Run OCR on scanned documents first, and remember that flowing text such as letters will not form useful columns.
Which file format does Nitro create?
Nitro can produce a modern .xlsx workbook or an Excel 2003 XML spreadsheet. The output file format is set under Options, Conversion, Excel.
