Convert PDF Table to Excel: Four Tools and Their Limits

6 min readOctober 26, 2026

Quick Answer: To pull one table out of a PDF, use a tool that lets you choose the table rather than converting every page. On Windows, Excel's Get Data > From PDF lists each detected table so you can load just one; Tabula (free) lets you draw a box around it; Acrobat converts whole pages. Check the result for rows split at page breaks, repeated headers and merged cells.

Converting a single PDF table to Excel works best with a table-aware tool: Excel's PDF import on Windows, the free Tabula app, or a converter built for that document type. Whole-document converters such as Acrobat also work but bring headings and paragraphs along. Whichever you pick, the hard parts are tables that cross pages, header rows repeated on each page and merged cells.

Which tool fits which kind of table?

The right tool depends less on price than on the table itself: how many pages it covers, whether it has ruling lines, and whether the PDF is a scan.

For the Acrobat route, the step-by-step lives in the Adobe Acrobat PDF to Excel walkthrough. The rest of this guide focuses on getting a table, not a page, into a clean grid.

How do you extract only one table with Excel?

Excel's importer is the quickest free route on Windows because it does the table detection for you. After Data > Get Data > From File > From PDF, the Navigator shows two kinds of entries: tables it detected and whole pages. Click through the detected ones until the preview matches your table, tick it, and load it. The full Get Data from PDF guide covers versions, the Navigator and Power Query cleanup step by step.

Two options in Microsoft's PDF connector reference matter specifically for tables:

  • MultiPageTables (on by default) joins similar tables on consecutive pages into one. If your table continues onto page 2 and the Navigator still shows two pieces, the column layout probably shifted slightly between pages.
  • EnforceBorderLines (off by default) makes ruling lines strict cell boundaries instead of one hint among many. On a table drawn with full grid lines, turning it on in the Pdf.Tables step can stop two columns merging. You set it by editing the formula, for example adding [EnforceBorderLines=true] to the options record.

Drawing the table yourself with Tabula

Tabula was made for journalists stuck with tables in government PDFs, and it is still the best free tool when automatic detection guesses wrong. It runs on Windows, Mac and Linux and you use it through a local web page after installing it. Its site is explicit that it only works on text-based PDFs, not scans.

A typical session:

  1. Import the PDF and open it in Tabula.
  2. Drag a rectangle around the table on the first page. Leave out the column headings on later pages so they do not repeat.
  3. Choose an extraction method. Lattice suits tables with ruling lines between cells; Stream suits tables separated only by whitespace.
  4. Preview, adjust the rectangle if a column is cut off, and export to CSV.
  5. If the table sits in the same place on every page, save the selection as a template and apply it to the other pages.

Open the CSV in Excel and convert it to a proper table with Insert > Table (Ctrl+T) so filters and structured references work. The Tabula comparison looks at where it breaks down on bank statements.

What goes wrong with multi-page tables, and how do you fix it?

A table that spans pages is several tables as far as the PDF is concerned. Expect these problems and their fixes:

Repeated headers. Each page reprints "Date | Description | Amount". Filter the first column for that heading text and delete the visible rows, or in Power Query use Remove Rows after promoting the first row to headers.

Rows cut at the page break. The last row on page 1 can continue at the top of page 2, so one record becomes two half-rows. Sort is your enemy here; fix these before sorting by looking for rows with text but no numbers.

Subtotals and "carried forward" lines. Many reports print a running total at the bottom of each page and repeat it at the top of the next. Delete both or your sums double-count.

Columns that drift. If page 3 has one fewer column because a field was blank throughout, everything to its right shifts left. Line up the pages by heading before appending them.

Handling merged cells and multi-line rows

Merged cells exist in the PDF's visual design, not in its data. A heading that spans three columns, or a category label that sits beside five rows, lands in Excel as a merged range or as a value on only the first of those rows.

  • To unmerge: select the range, click Merge & Center to turn it off, then fill the gaps. Select the column, press F5 > Special > Blanks, type = and the cell above, and press Ctrl+Enter.
  • For a description that wrapped onto a second line, join the text to the row above and delete the orphan row. In Power Query, Microsoft points to Fill Down and Group By for exactly this case.
  • For two-row headers ("Amount" above "Debit" and "Credit"), flatten them into single headings such as "Amount Debit" before you turn the range into a table.

Can you convert a PDF table to Excel free?

Yes, if the table is in a text-based PDF and you have Windows Excel or are willing to install Tabula. Adobe also runs a free online PDF to Excel converter that converts the document to .xlsx; sign-in is optional for the conversion. For a table inside a scanned page, Excel's Data > From Picture > Picture From Clipboard reads a screenshot of just that table on Windows 10 (version 1903 or later) and 11, and shows a review step so you can fix misread values before inserting.

When the table is a bank statement

Statement tables combine every problem above: they span pages, repeat headers, wrap descriptions and print debits and credits in separate columns. General table tools can extract them, but you rebuild the signed amount and check the balance yourself.

That is the case QuickBankConvert was made for. It treats the statement as transactions rather than a grid, so the multi-page table comes back as one list of rows (date, description, category, amount with money out as negative, and balance when printed), and the statement's opening and closing balances appear above the preview for checking. It reads text PDFs most reliably; scans and phone photos come back less accurately. See bank statement PDF to Excel for the output, or the PDFTables comparison for how a general table converter differs.

Frequently Asked Questions

What is the best free tool to extract a table from a PDF to Excel?

On Windows with Microsoft 365, Excel's own Get Data from PDF is the simplest. On Mac or Linux, or when automatic detection picks the wrong area, Tabula lets you draw around the table and export CSV.

How do I stop a PDF table splitting into several tables in Excel?

Use a tool that joins pages, such as Power Query with MultiPageTables on, or append the page tables yourself and delete the repeated header rows. Splits usually happen when the column positions differ slightly between pages.

Can I convert a table from a scanned PDF?

Only after OCR. Acrobat Pro can recognise text in a scan, and Excel for Windows can read a screenshot of a table with Data > From Picture.

Why does my converted table have merged cells?

The PDF drew a heading or label across several columns, and the converter copied that layout. Unmerge the range and fill the blanks so every row has its own values.
