Xero Bank Statement: Where to Find and Export It

6 min readOctober 26, 2026

Quick Answer: In Xero, a bank statement is the list of statement lines that reached a bank account through a bank feed or a file you imported. Open it from Accounting > Bank accounts, then the account's menu and Bank Statements. Xero has no button that downloads the bank's official PDF; you can export reports and uncoded lines, but the formal statement still comes from your bank.

When people say "Xero bank statement" they usually mean one of two things: the Bank Statements screen inside Xero, which lists every line the feed or an import delivered, or the PDF statement the bank issues each month. Xero stores the first and exports parts of it. The second only comes from the bank, and the two can disagree.

How do you open the Bank Statements screen in Xero?

The screen sits one level below the bank account itself. Xero Central describes the route like this (labels can shift slightly between regions and as Xero updates its navigation):

  1. In the top menu, choose Accounting, then Bank accounts.
  2. Find the account you care about. Click its menu icon (older layouts show this as Manage Account).
  3. Select Bank Statements. Every statement line in that account appears in date order, newest first.
  4. Use the date or statement filters to narrow the list to the month you are checking.
  5. Click a line to see its detail and, where it is reconciled, the transaction it was matched to.

If you are a bookkeeper working across client files, check your user role first. Some export options on this screen, covered below, are limited to people with the administrator role.

What the columns on the Bank Statements screen tell you

The screen is more useful as an audit trail than as a statement. Two columns do most of the work:

ColumnWhat it showsWhy it matters
SourceBank Feed for lines that arrived through a connected feed, Imported for lines from a file you uploaded (CSV, QIF and the other import types)Tells you whether a gap is a feed problem or a missing upload
StatusUnreconciled, Reconciled or DeletedShows what still needs coding and whether someone removed a line
Date, payee, reference, amountThe values the bank or your file suppliedCompare these against the bank's PDF when a balance is off

The Deleted status is the one people overlook. A deleted line stays visible here, so if a client says "the transaction vanished", this is where you confirm that someone deleted it rather than the bank never sending it. Xero Central also has a Duplicate Statement Lines report, which compares dates and amounts within one account and lists likely doubles; run it after any manual import that overlapped a feed.

Can you download a bank statement from Xero?

Not as a single bank-style document. Xero's own Product Ideas forum carries a request titled "Bank Statements - Ability to download bank statements from the bank feed", still marked as gaining support, which tells you the feature does not exist today. What you can export instead:

  • Uncoded statement lines. Users with the administrator role can export the bank statement lines that are not yet reconciled to PDF or CSV. The CSV opens in Excel and is the quickest way to hand a client a list of "what is this?" items.
  • Bank reconciliation report. It summarises the statement balance against the balance in Xero, lists outstanding payments and receipts, and exports like any other Xero report.
  • Account Transactions for the bank account. This shows what has been posted to the ledger, not the raw statement lines, but it is often what an accountant wants alongside the statement.
  • Any report export. Xero lets you export reports as a PDF, a Microsoft Excel file or a Google Sheets spreadsheet, so you can save a customised layout and rerun it each month.

None of these carries the bank's logo, account holder address or official opening and closing balance for a statement period. If a lender, landlord, visa office or auditor asks for "a bank statement", they mean the bank's document.

Why Xero's version is not the statement your bank issued

A feed is a data pipe, not a copy of the statement. Several ordinary things make the two drift apart:

  • Start date. A new feed may bring in only a limited window of history, so months before the connection exist only in the bank's PDFs.
  • Pending versus posted. The bank's statement lists posted items for a closed period. A feed can pick up items on different days, and occasionally a pending card authorisation shows on one side only.
  • Descriptions. The feed's payee text is often shorter or formatted differently from what prints on the statement, which makes manual matching harder.
  • Deleted and duplicate lines. A line someone deleted in Xero is still on the bank's statement; a duplicate from an overlapping import is on Xero's side only.
  • Feed outages. When a connection breaks for a week, Xero simply has nothing for those days until the feed catches up or you import the gap.

The practical consequence is that the bank's closing balance on the PDF is the number you reconcile to. Xero's statement balance should end up equal to it; if it does not, the PDF is the source of truth for finding the missing or extra line.

Filling gaps in the statement history

Xero's own overview of banking data lists four routes in: direct feeds, third-party feed connections, manual uploads of OFX, QBO, QFX, QIF or CSV files, and Hubdoc extraction from PDF statements for supported institutions (Four ways to get your banking data into Xero). For a missing stretch, a manual upload is the usual answer: get the transactions for exactly the missing dates and import them to the same bank account, then run the duplicate report.

The catch is that older periods are often only available from the bank as PDFs. That is the gap QuickBankConvert was built for. It reads a statement PDF into rows with date, description and signed amount, and on paid plans it can write a Xero-ready CSV you then import yourself. Check the transaction count and closing balance it shows against the PDF before you import, and trim any dates that overlap what the feed already brought in. Our longer walkthrough of importing bank statements into Xero covers the import screen itself, and the Xero integration page lists which file types the converter writes for it.

If your bank offers its own CSV export for the dates you need, use that first; it is free and comes straight from the source. A converter earns its place when the bank's download window has closed and the PDF is all you have.

A month-end routine that keeps both versions in step

  1. Download the bank's PDF statement as soon as the period closes and save it with the account name and month in the file name.
  2. Open the Bank Statements screen in Xero, filter to the same dates and confirm no lines are marked Deleted without a reason.
  3. Reconcile the remaining lines, then compare Xero's statement balance with the PDF's closing balance.
  4. If they differ, export the uncoded lines and work through them against the PDF line by line.
  5. Run the Duplicate Statement Lines report if you imported any file during the month.
  6. File the PDF with your records; Xero's screen does not replace it.

Frequently Asked Questions

Where is the bank statement in Xero?

Go to Accounting, then Bank accounts, open the account’s menu and choose Bank Statements. It lists the statement lines the feed or your imports delivered, with their source and reconciliation status.

Can I download my official bank statement PDF from Xero?

No. Xero keeps the transaction lines, not the bank’s document, and a request for a statement download from the feed is still open on Xero’s ideas forum. Download the PDF from your bank’s online banking.

How do I export bank statement lines from Xero to Excel?

An administrator can export unreconciled statement lines to CSV, which opens in Excel. For a fuller picture, export the bank reconciliation or Account Transactions report as an Excel file.

Why does Xero’s statement balance differ from my bank statement?

Usually a missing stretch from a feed outage or late start date, a deleted line, or a duplicate from an overlapping import. Compare the lines for the period against the bank’s PDF and run the duplicate statement lines report.

How do I add months that are missing from my Xero bank feed?

Get the transactions for exactly those dates as a CSV, OFX, QBO, QFX or QIF file, from the bank or by converting the PDF statement, and import it into the same bank account in Xero.
