Upload Invoices to QuickBooks Online: PDFs vs CSV
Quick Answer: It depends on whose invoice it is. A PDF invoice from a supplier is a bill: in QuickBooks Online go to All apps > Expenses & Bills > Bills, choose Upload from computer under Add bill, and review what QuickBooks reads in the For review tab. Invoices you sent to customers can't be imported as PDFs; they come in bulk from a CSV through Settings > Import data > Invoices.
"Upload invoices" means two different jobs in QuickBooks Online. Bills from your vendors arrive as PDFs or photos, and QuickBooks can read those files and draft a bill for you to approve. Sales invoices you issued are a data import, done from a spreadsheet with one row per invoice line. Pick the route by asking who owes whom.

Which kind of invoice are you holding?
Most confusion comes from the word itself. Your supplier calls the document an invoice; QuickBooks files it as a bill, because it is money you owe. The table sorts the common cases.
| What you have | What it becomes in QuickBooks | Route |
|---|---|---|
| PDF or photo of a supplier's invoice | Bill (accounts payable) | Upload from computer, or email it to your company's bill address |
| Receipt for something already paid by card | Expense | Receipt upload, or record it from the bank feed |
| Spreadsheet of invoices you issued in another system | Invoice (accounts receivable) | Import data > Invoices, CSV file |
| PDF copies of invoices you issued | Nothing directly | Rebuild the data as a CSV first |
| Bank statement showing the payments | Bank transactions | Bank feed or a manual statement upload |
The last row matters later. Uploading a bill records the debt; the payment still has to show up through your bank account, and the two meet when you match them.
Uploading supplier PDFs as bills
Intuit's help article on entering bills in QuickBooks Online (read on 27 October 2026) gives this path for files already on your computer:
- Go to All apps, then Expenses & Bills, then Bills.
- Open the Add bill dropdown and select Upload from computer.
- Drag the files into the upload window, or select Upload to browse for them.
- Open each uploaded bill from the For review tab, check it, and save it.
Accepted file types, per the same page, are PDF, JPEG, JPG, GIF and PNG. Intuit says "QuickBooks will automatically detect important information within the document and fill it in for you on the bill." Treat that as a draft. Check the vendor name against your vendor list (a near-duplicate vendor splits your payables report in two), the bill date, the due date, the bill number, and the category or item on each line.
Can vendors email bills straight into QuickBooks?
Yes. The help page describes a company-specific email address shown on screen: "you or your vendor can email a copy of your bill to the email you see on screen. This email will be unique to your company, so make sure you copy it exactly." QuickBooks reads the attachment and creates a transaction for you to review, landing in the same For review tab as uploads.
This is the better habit for recurring suppliers. Ask the vendor to add that address to their billing contacts, and their invoices stop sitting in someone's inbox. Keep a personal copy too, because a mistyped address fails quietly.
What should you check in the For review tab?
Every bill that came in by upload or email waits there until someone accepts it. A short routine catches most extraction slips:
- Total and tax. Compare the bill total with the PDF. Shipping and tax lines are the ones most often misread.
- Dates. Day-month order on foreign invoices can flip, which moves the due date by weeks.
- Duplicates. A vendor who emails the invoice and then a reminder produces two drafts. Delete one before saving.
- Category. Pick the expense account or product you want; don't accept a guess you wouldn't defend at tax time.
- Attachment kept. The original file stays attached to the bill, which is the record you want if anyone asks later.
Importing sales invoices in bulk from a CSV
When the invoices are yours, the import tool works from a spreadsheet, not from documents. Intuit's article on importing multiple invoices at once lists the path as Settings โ > Import data > Invoices > Upload a file to import data, then browse for the file, map your column headers to QuickBooks fields, choose the date format, review the summary and select Start import.
The rules that trip people up:
- Required columns are invoice number, customer, invoice date, due date and item amount.
- Up to 1,000 rows per spreadsheet and a maximum of 100 invoices per import.
- "If you have set up sales tax in your account, you can't import invoices this way."
- Negative lines such as discounts or credit memos are not accepted.
- Missing products are filled with a generic item called "sales", so set up your products first if you report by product.
- Intuit lists the feature for Essentials, Plus and Advanced.
Our guide to importing Excel into QuickBooks Online walks through preparing that spreadsheet, the column layout and the order in which to import customers and products.
Why can't QuickBooks import my PDF sales invoices?
The invoice import expects structured rows, and a PDF is a picture of a page. If your old system can export a CSV or Excel report of invoices, use that. If all you have are PDFs, copy the five required fields into a sheet by hand for a small batch, or ask the old system's support for a data export before you cancel it. Converting the PDF itself rarely helps here, because each invoice is a separate document with its own layout.
Bank statements are different. They are long, regular tables, and a converter such as QuickBankConvert turns a statement PDF into dated, signed rows you can check against what customers paid. That is useful when you are rebuilding the receipts side after an import, not for the invoices themselves.
Matching uploaded bills to bank payments later
A bill is a promise to pay; the cash leaves later. When you pay the bill outside QuickBooks, record the bill payment, then let the bank feed line match it. If the bank feed line arrives before you have recorded the payment, look for the open bill among the match options before you categorize the line. Matching keeps the expense from being counted twice, once on the bill and again as a categorized bank line. Our walkthrough on categorizing bank transactions in QuickBooks Online covers the match screen.
For past months where the bank connection was not set up, a manual upload of transactions fills the gap. QuickBankConvert can turn those older statement PDFs into a QBO file or CSV you import yourself; see the QuickBooks integration page for the file options.
What about receipts?
Receipts for purchases already paid by card or debit follow the expense route, not the bill route, because nothing is owed. QuickBooks Online has its own receipt upload for that, which turns the image into an expense you review and match to the card line. Intuit moves those menus between interface versions, so start from the QuickBooks help home and search for receipts in your edition. If you are bringing in a batch of expenses rather than a few receipts, our guide to importing expenses into QuickBooks compares the options.

Frequently Asked Questions
Can QuickBooks Online read a PDF invoice and fill in the bill for me?
Yes, for bills you owe. Intuit says QuickBooks automatically detects important information in an uploaded bill and fills it in, and the result waits in the For review tab until you check and save it.
Can I import PDF copies of invoices I sent to customers?
Not as invoices. The Import data tool for invoices takes a CSV file with columns such as invoice number, customer, dates and item amount. Pull those fields out of your old invoicing system into a spreadsheet instead.
How many invoices can I import at once?
Intuit's import page says a maximum of 100 invoices at a time, and each spreadsheet can hold up to 1,000 rows. Split bigger files into batches.
Why is the invoice import blocked in my company?
Intuit states that if you have set up sales tax in your account, you can't import invoices this way. In that case invoices have to be created another way, such as manually or through an app.
Do uploaded bills show up as paid?
No. An uploaded bill is an open payable. It becomes paid when you record the bill payment, which you can then match to the bank feed line that shows the money leaving.
