QuickBooks Online Accountant Free? What Changes in 2026
Quick Answer: Yes, QuickBooks Online Accountant has been free for accounting professionals, but Intuit says it will be discontinued on December 31, 2026, with every firm moved to Intuit Accountant Suite. The Core plan of the new suite stays free. Its Accelerate plan is free until January 20, 2027, then listed at $149 monthly unless your firm qualifies through Intuit's ProPartner program. Your clients still pay for their own QuickBooks subscriptions.
QuickBooks Online Accountant (QBOA) is the console bookkeepers and accountants use to reach every client's QuickBooks Online file from one sign-in. It never had a monthly fee for the firm. What is changing in late 2026 is the product itself: Intuit is retiring QBOA and replacing it with Intuit Accountant Suite, and the free version of that suite is the one most small practices will land on.

Is QuickBooks Online Accountant still free?
For now, yes. Intuit's QuickBooks Online Accountant page states that "QuickBooks Online Accountant will be officially discontinued on December 31, 2026," and that "the Core version of Intuit Accountant Suite has no monthly recurring fee and remains free for your firm to use," just as QBOA was.
The same page says firms that have switched to the new suite currently have the option to go back to QBOA. That door closes with the discontinuation date, so treat the remaining weeks as a transition window rather than a reason to wait.
Intuit Accountant Suite: Core vs Accelerate
Read from Intuit's accountant pricing page on October 27, 2026:
| Core | Accelerate | |
|---|---|---|
| Price | $0 | $0 now; $149 monthly from January 20, 2027 |
| Exception | โ | Remains free for ProPartner Accountants at the Premier tier and above |
| Positioned for | Centralized firm operations, workflows and service delivery | Growing advisory work, with cross-client insights and controls |
| Shared features | Books Close, support resolution center, role-based access, client messaging inbox | Same, plus cross-client comparisons and AI-powered KPI tracking and anomaly detection |
| Intuit Intelligence chat | Limited capacity | More capacity |
For a bookkeeper with a handful of small-business clients, Core covers the essentials of the old QBOA: one place to open client files, manage your team's access and run month-end work. Accelerate is aimed at firms selling advisory services across many clients.
Intuit's switching checklist on its Firm of the Future site also notes that firms must accept updated terms by January 19, 2027, or be moved to the free Core version, and that a 60-day billing notice comes before charges begin.
What does "free" not cover?
The accountant console is free. The client's software is not. Each client needs a QuickBooks Online subscription of their own (Simple Start through Advanced), and either the client or your firm pays for it. Our QuickBooks Online plans guide lists the tiers and the prices Intuit showed on the same day.
Payroll, time tracking and bill pay add-ons are also separate subscriptions.
Wholesale billing and the ProAdvisor discount
"Wholesale billing" was the old name for your firm paying Intuit for a client's subscription at a discount and re-billing the client. The current ProAdvisor pricing page describes two options:
- ProAdvisor discount, "we bill your firm." 30% off QuickBooks Online subscriptions on an ongoing basis. You collect from the client however your engagement letter says.
- Direct discount, "we bill your client." 30% off for 12 months, billed straight to the client, after which the price returns to standard.
The page lists the eligible products as QuickBooks Online (Simple Start through Advanced), Workforce payroll tiers, Time and Bill Pay, and excludes QuickBooks Self-Employed. Two conditions matter in practice: participation is free but limited to accounting professionals using Intuit Accountant Suite, and the discount applies only to new subscriptions, so an existing client subscription cannot simply be moved onto it.
Choose firm billing when you bundle software into a fixed monthly fee and want one invoice per client from you. Choose client billing when you would rather not carry the cost or chase payment for software.
ProAdvisor becomes ProPartner
Intuit's accountants page says the ProAdvisor program is transitioning to a "ProPartner Accountants program" launching in early 2027. Since the Accelerate plan's free status is tied to ProPartner tiers, check where your firm will sit before January 2027. Certification training continues through Intuit's ProAdvisor Academy in the meantime.
Should a small practice stay on Core?
Work through three questions before January 2027:
- How many clients do you compare against each other? Cross-client benchmarking and anomaly detection are the Accelerate features. A bookkeeper doing monthly close for ten local businesses rarely needs them; a firm selling quarterly advisory reviews may.
- Will you qualify for a ProPartner tier that keeps Accelerate free? If so, there is little reason not to use it. If not, compare the listed charge with the hours it would save.
- What did you rely on in QBOA? List the screens your team opens every week, then confirm each one exists in Core during the beta period, while you can still switch back.
Most solo bookkeepers will find Core enough. Make the decision deliberately, because accepting the updated terms is the point at which billing can begin.
Getting set up: a short checklist
Intuit's Firm of the Future checklist, switching to Intuit Accountant Suite, lays out the move in four phases. Condensed:
- Opt in from your QBOA settings and finish onboarding. If your firm has more than one QBOA console, consolidate them into one primary account; Intuit says client data comes across without loss.
- Try the beta features (Accelerate and Books Close), free through January 19, 2027.
- Organize your team and clients. Set user groups for role-based access, and give clients unique numbers and custom fields so lists stay sortable.
- Review billing before the pricing change, and decide whether Core is enough.
New to the platform entirely? Sign up from Intuit's accountant pages, then have each client invite you to their company as their accountant from within their own QuickBooks Online. The client keeps ownership of the file; you get access through your console.
If you are building a practice from scratch, our guide to starting a bookkeeping business covers the steps around the software: pricing, engagement letters and finding first clients.
How do you get a new client's back statements into the file?
The first week with a new client often goes the same way. You open their file in the console, connect their bank, and discover the feed brought in only recent activity, while the engagement starts at January 1. Or the client has been in QuickBooks for a year and never connected the savings account or the card they closed in spring.
Those months have to come in from statements. Intuit's manual upload help article accepts CSV, TXT, QBO and OFX transaction files, and says QuickBooks can also extract transactions from an English-language PDF or image of a statement. When you want to check and fix rows in a spreadsheet before importing, or you are handling statements for many clients at once, QuickBankConvert converts the PDFs into CSV or QBO files, and its Pro plan adds batch upload and client labels; the bookkeepers page explains that workflow. For the order of operations, including how to avoid duplicates where the feed and the upload overlap, see importing old transactions into QuickBooks Online and the catch-up bookkeeping guide.

Frequently Asked Questions
Will I lose my clients when QuickBooks Online Accountant is discontinued?
Intuit says data comes with you and no data loss occurs when you switch to Intuit Accountant Suite. Switch before December 31, 2026 so you can check everything while QBOA is still available.
Do I have to pay for Intuit Accountant Suite?
Not for the Core plan, which Intuit lists at $0. The Accelerate plan is free until January 20, 2027 and then carries a charge unless your firm qualifies through the ProPartner program.
Can a bookkeeper who is not a CPA use QuickBooks Online Accountant?
Intuit offers its accountant tools and ProAdvisor discounts to accounting professionals, which in practice includes bookkeepers. Check Intuit's sign-up terms for its current eligibility wording.
Does my client still need their own QuickBooks subscription?
Yes. The accountant console is free, but each client company needs its own QuickBooks Online plan, paid either by the client or by your firm at the ProAdvisor discount.
What is the difference between firm billing and client billing?
With firm billing Intuit charges your firm a discounted price on an ongoing basis and you re-bill the client. With client billing Intuit charges the client directly at a discount for the first 12 months.
