Accounting Packages for Small Business Compared (2026)

7 min readOctober 27, 2026

Quick Answer: There is no single best accounting package for small business; the right one depends on how many invoices you send, whether you hold inventory, whether you run payroll, and which country's tax rules you file under. QuickBooks Online and Xero are the broad all-rounders, Zoho Books and Wave are the low-cost entry points, FreshBooks is built around invoicing and time, and Sage is strong for UK sole traders. Read each vendor's pricing page yourself, because list prices and promotions change often.

Small business accounting software does four jobs: it records money in and out, matches those records to your bank, produces a profit and loss statement and balance sheet, and keeps the numbers your accountant needs at tax time. The packages below all do those four. Where they differ is invoicing limits, users, inventory, multi-currency, payroll and how they bring in bank data.

How we compared them

This is an informational comparison, not a ranking, and there are no affiliate links on this page. Prices and plan limits below were read from each vendor's own US pricing page on October 27, 2026, except Sage, whose site did not load for us that day. Every vendor was running a promotion at the time, so the table shows the regular list price, and the introductory discount is mentioned separately. Treat every number as a snapshot: check the live page before you buy.

We looked at the things that decide fit for a small company rather than a feature checklist:

  • Bank data: does the plan connect to your bank automatically, and can you upload a statement file when the feed breaks or the bank is not supported?
  • Invoicing and bills: are there monthly caps on how many you can send or enter?
  • Users: how many people can log in, and is your accountant free?
  • Inventory and projects: needed by product sellers and service firms that bill by job.
  • Multi-currency: needed if you invoice or pay suppliers abroad.
  • Payroll: built in, an add-on, or a partner integration.

What does each package cost and include?

Two traps hide in that table. First, the cheapest paid tier is often missing the one feature that makes bookkeeping fast: Wave's free Starter plan does not auto-import bank transactions, Zoho Books' free plan has no bank feeds, and FreshBooks Lite has no bank reconciliation or double-entry reports. Second, several packages charge per extra person. FreshBooks lists team members at $11 each monthly, and Zoho Books charges for users beyond the plan's allowance.

QuickBooks Online

QuickBooks Online is widely used by US accountants and bookkeepers, and that familiarity can matter more than any feature: your CPA can log in as one of the included accountant users and work in a file they know. The tiers climb by users and depth. Simple Start covers invoicing, bill pay and general reports for one user. Essentials adds three users and time-to-invoice. Plus adds inventory tracking, project profitability, budgets and up to 40 classes or locations. Advanced raises the cap to 25 users and adds batch tools, Excel sync and workflow automation.

A free tier now exists, but its limits (two invoices a month, one bank connection) make it a trial of the interface rather than a home for a working business. If you bank with several institutions, you will hit that single connection on day one.

When the bank feed misses months, QuickBooks accepts uploaded transaction files. Our QuickBooks integration page explains which file types work and how to bring in history the feed never downloaded.

Xero

Xero is the main alternative to QuickBooks for small firms, and the default for many accountants in the UK, Australia and New Zealand. Its plans are structured by volume rather than users: Early caps you at 20 invoices and quotes and 5 bills a month; Growing removes those caps; Established adds multi-currency. Payroll in the US is an add-on, which the pricing page listed at $36 monthly plus $6 per employee or contractor.

Bank reconciliation is in every Xero plan, and that is the screen you will use most. Xero also imports statement files when a feed is unavailable; see Xero bank statement imports for the CSV layout it expects.

Wave

Wave's appeal is a genuinely free Starter plan with unlimited invoices, estimates, bills and bookkeeping records. The catch is that you enter or upload transactions yourself on Starter; automatic bank import and auto-categorization belong to Pro, listed at $19 monthly or $190 billed annually. Wave also sells payroll as an add-on and a paid bookkeeping service called Wave Advisors.

For a freelancer with one account and a few dozen transactions a month, Starter plus a monthly statement upload is workable. The steps are in our guide to importing bank statements into Wave.

Zoho Books

Zoho Books has the longest tier ladder here, from a free plan to Ultimate. The free plan suits a very small business: one user plus an accountant, and it stays available while annual revenue is under $50K. Bank feeds start at Standard, and multi-currency at Professional. If you already run other Zoho apps, the shared login and data are a real advantage. When a bank is not supported by the feed, Zoho takes statement files; see importing statements into Zoho Books.

FreshBooks

FreshBooks started as invoicing software for service businesses and still feels like it. Time tracking, proposals, e-signatures and client-facing invoices are strong. Plans are capped by billable clients (5 on Lite, 50 on Plus, unlimited on Premium), so a consultant with three retainer clients pays far less than an agency. Choose Plus or above if you want proper double-entry reports and bank reconciliation; Lite has neither.

Sage Accounting

Sage sells different products in different countries, from Sage Accounting for small firms to larger mid-market systems. Its site blocked our fetch on October 27, 2026, so we are not quoting plans or prices; see Sage's own site for the current lineup in your region. If you are searching for Simply Accounting, ask Sage directly which current product covers it and how to migrate, rather than relying on a third-party summary.

Which accounting package suits a UK sole trader?

UK sole traders and landlords face a deadline that narrows the choice. HMRC's guidance says you must use Making Tax Digital for Income Tax from 6 April 2026 if your qualifying income from self-employment and property was over £50,000, from 6 April 2027 if it was over £30,000, and from 6 April 2028 if it was over £20,000. That means software HMRC recognises as compatible. Check HMRC's guidance on when you need Making Tax Digital and confirm that the package you pick is on HMRC's list before paying. Check the vendor's UK pricing page, not the US one, for a sole-trader plan, and confirm that plan is on HMRC's list.

How should you trial accounting software before choosing?

Run the same small test in two packages rather than reading more reviews:

  1. Pick a closed month, such as last month, and download the bank and card statements for it.
  2. Connect the bank feed in each trial, or upload the statement file if the feed will not reach back that far.
  3. Categorize every transaction and reconcile to the statement's ending balance.
  4. Send one real-looking invoice and record one bill.
  5. Run a profit and loss report and ask your accountant whether it is the shape they want.

Most trials fail at step 2: the feed only pulls recent activity, and the bank offers older months only as PDFs. If you need to load a year of history to start clean, QuickBankConvert turns statement PDFs into CSV or Excel on a free account, and into QuickBooks (QBO) or Xero-ready CSV files on paid plans, so the history arrives as rows instead of retyping. The catch-up bookkeeping guide covers the order to work in once it is loaded.

Frequently Asked Questions

What is the cheapest accounting software for a small business?

Wave Starter, Zoho Books Free and QuickBooks Online's free plan cost nothing, but each limits something: bank import, revenue or invoices. Check whether the free tier covers your bank connections before committing.

Is QuickBooks or Xero better for a small business?

Both handle invoicing, bills, reconciliation and reports well. QuickBooks tiers are priced by users and features, Xero by invoice and bill volume, so the cheaper one depends on how you work, and often on which package your accountant already uses.

Do I need accounting software if I have a bookkeeper?

Usually yes, though the bookkeeper may choose it. You keep ownership of the subscription and the file so the records stay with you if the bookkeeper changes.

Can I move from one accounting package to another mid-year?

You can, but it is cleaner at a year-end or quarter-end. Bring over opening balances, open invoices and bills, then reload transactions from bank statements for any months you need in the new system.

What accounting software works for Making Tax Digital in the UK?

Only software HMRC recognises as compatible with Making Tax Digital for Income Tax. Check the specific plan against HMRC's list, since not every tier of every package qualifies.
